Instinct EMR Hospitals: Our Controlled Substance Reports are accessed via the ‘Analytics’ section. If you have any questions accessing your report, adding medications, or removing medications from your report, please contact us at support@instinct.vet.
π‘ ProTip: Admin Users can create a new User Role to assign to any staff that need access to the Controlled Substance Report. We recommend creating the Role: Analytics – Inventory with the Permission of analytics_controlled_substance_report.
Each Controlled Substance Report includes the following tabs at the bottom of the spreadsheet:
- Report Info – Includes hospital name, hospital location, reporting period, date the report was generated (date run), and report time zone
- Controlled Substance List – Main data for the report (more details on this below!)
- Glossary – Includes the name and description of each column to provide clarity about each column’s data
π§Ύ Report Info

π Please Note: A 24-hour format is used to display the time.
π Controlled Substance List
This is the main report which includes the following columns:
- Product ID – The product or PIMS ID.
- Product – The product name.
- Quantity – The amount administered, entered directly onto the invoice, or prescribed.
- Formulation Unit – The formulation unit for the controlled substance product.
- Timestamp – The time the treatment was completed, the time the product was directly entered onto the invoice or prescribed.
- Completed By – The user’s name that completed the treatment, directly entered the product onto the invoice or prescribed.
- Assigned Doctor – The doctor assigned to the visit at the time the treatment was completed. This will display the doctor entered onto the invoice or the doctor selected in the Rx modal when the controlled substance is prescribed.
- Patient ID – The patient’s PIMS ID.
- Patient Name – The patient’s name.
- Account Name – The primary account name.
- Account Address – The primary account address.
- Account Phone – The primary account phone number.
- Entered On – Where the controlled substance was entered. Instinct Treatment Plan hospitals will show as Tx Sheet and Instinct EMR hospitals will show as Invoice for items prescribed or added directly onto the invoice.

π Glossary

π‘ A few things to keep in mind:
- If a treatment is completed on the Treatment Sheet and the corresponding invoice line item’s date/time is edited, the report will show the time the treatment was completed.
- If a controlled substance is added directly to an invoice and the date/time is edited, the report will show the current date/time displaying on the invoice.
- If a controlled substance is added to the invoice via a prescription and the corresponding invoice line item’s date/time is edited, the report displays the date/time updated on the invoice and not the date it was prescribed.
