Welcome to the Instinct release notes page! These notes will provide information on the functionality of new features released this month.

Antech Diagnostic Integration
Instinct is partnered with Antech to offer diagnostic integration!

- When Antech treatments are completed, a corresponding Chart document is automatically created with a Request Pending status.
- Once we receive the PDF from Antech, the status updates to Requested and the View Form button appears so you can print the requisition.
- As results become available, the status will update to Partial and/or Complete.

rVet Email Opt-Out
rVet email addresses can be configured to not receive emails from Instinct!
When you’re in the edit screen for any rVet profile, using the 3-dot menu next to the rVet email address and selecting “Turn off e-mail notifications” will opt-out that email:

Once an email has been opted-out of e-mail notifications, it will be identified by a bell icon with an ✖️:

E-mail addresses may be opted back in using the same 3-dot menu and selecting “Turn on e-mail notifications”:

rVet Email Added to Comm Log
We have added the ability to select rVet email addresses from the dropdown menu in the Comm Log Send, to easily send updates and documents via email. Client email addresses will be indicated by a 😶 face icon, and the rVet email address will have a 🏥 building icon:

The dropdown menu will not display any email addresses that have opted-out of email notifications.
New Tab in Incomplete Charts Report
We’ve added Ready for Approval Charts to our Incomplete Chart Documents report! Student Draft Documents will display on this report in a new tab: Ready for Approval Charts:

When a draft document is approved but not signed, it will move to the Unsigned Charts tab. Once signed, the document will no longer display on this report.
Easily Delete Attachments in Comm Log
We added a new Trash icon that appears next to Attachments after you have selected one or more items from the Attachments screen. The new button is a quick way to unselect all items in Attachments!

Bulk Editing for Invoices
The Bulk Edit function has arrived at the Invoice screen, so now you can easily edit or void line items in bulk!
Bulk Edit can be accessed from the Bulk Edit button to the left of Payments & Ledger or via the Ctrl+E shortcut, provided there is at least 1 line item available.

As with bulk edit in the Tx Sheet screen, bulk edit in the Invoice screen allows you to select items one by one, or select headings to select multiple line items at a time. There is also a checkbox in the header row which will select / deselect all line items on the Invoice screen.
Once line items have been selected, the Edit and Void buttons become enabled with a count of the selected items that will be edited or voided.

In order to see the Edit button, you must have the invoice_edit_line_item permission. Likewise, in order to see the Void / Undo Void buttons, you must have the invoice_void_line_item permission on one of your Staff Roles in Admin..
💉 Vaccine and Health/Service Reminders
Instinct’s Reminders feature will allow you to track services such as Annual Wellness Exams, Senior Bloodwork, Parasite Screens, Vaccine due dates, as well as automatically notify clients about these reminders on a set schedule.

➖ Negative Invoice Closing
To prevent overpaying on closed invoices and ensure proper reporting, the Invoice Balance must be equal to or greater than $0 before you can Close Invoice. Instinct will guide you to either process a Refund or apply the negative Invoice Balance as an Account Credit.
Checked Out Patient with an Open Invoice
If the Invoice Total and Invoice Balance are negative, the Close Invoice button will be disabled. You must either:
- Edit invoice line items so that the total is equal to or greater than $0
- Refund an amount that brings the Invoice Balance equal to or greater than $0

If only the Invoice Balance is negative, the Close Invoice button will be enabled, and the popup will guide you to three options:

Return to Invoice
- You will be returned to the Invoice screen and can Edit or Void line items to adjust the total and balance
Refund Balance
- You can refund the amount back to the client to bring the balance to $0
- Selecting this option opens the Payments & Ledger Panel with the patient and invoice. Refund type is pre-selected and the amount to refund is pre-filled

Once you have refunded the amount, you can then Close Invoice

📓 Please Note: You must have the payment_refund permission to process a Refund.
Account Credit
- You can issue a credit to the account that will bring the balance of the invoice to $0 and place the difference into Account Credit (Unapplied Payments)
- Selecting this option will display the Unapply Payments screen with the amount to unapply pre-filled
- Once unapplied – the Account Credit amount on the ledger should adjust accordingly

Once you have issued an Account Credit, you can manually Close Invoice
📓 Please Note: You must have the payment_unapply permission to enable the Account Credit button.
Checking Out Patient with a Negative Balance
When attempting to Check Out a patient that has a negative balance:
- You will see the Check Out popup, but the Check Out & Close Invoice option will be disabled
- This button will remain disabled until the invoice balance is brought to $0 or greater

- The Check Out popup will display the negative balance amount, and hovering over the info icon outlines the options to correct

You can still Check Out the patient out and leave the invoice Open if needed
Payments Panel
- If a Closed invoice has a balance of $0 or less, the option to collect a Payment will be disabled to prevent overpaying on an invoice:

If you try to overpay on a Closed invoice that has a balance of greater than $0, you will get an error when making a payment until the Amount entered is equal to or less than the Invoice Balance.

⚡ Invoice Performance Improvements
The Invoice Balance on the invoice screen was not updating in a timely manner, which allowed staff to close the invoice even though it’s in a negative amount. Now, the Invoice Balance should update immediately, any time invoice additions/edits/voids are made.
