Appointments – Calendar List View
🌞🍂 Daylight Saving Time
It’s that time of the year to “Fall back” for Daylight Saving Time. With this in mind, we’d like to share how Instinct handles DST for those who participate and what you can expect based on your region. Click here to see if/when your DST occurs!

Status Boards & Treatment Sheets
If you participate in DST, the 1AM hour will be displayed twice on the treatment sheet and when selecting a start time as shown below:
Following human medical best practices, all treatment orders will maintain their scheduled frequencies (ie, q2, q4, q6…) so that important treatments and their schedules are not altered.
This means any treatments originally scheduled for even hours will change to odd hours after 12AM (and vice versa) until (a) the patient is checked out or (b) the order is edited.
Scheduling a treatment to start on the first 1AM block will create an even hour frequency; where starting a treatment on the second 1AM block will create an odd hour frequency.
Don’t forget about our Bulk Edit feature to quickly reschedule any existing treatments after DST!
Appointment & Event Calendars
Our Appointment & Event Calendars will not display two 1AM hour times like our Status Boards and Treatment Sheets. This means only one 1AM hour will be displayed on those calendars and the time bar will simply change from 1:59AM back to 1:00AM during DST. Availability blocks will also only display one 1AM hour, but the Open Appts and Time Duration will indicate one hour more than what is displayed, as seen below.

Time Stamps
Throughout Instinct EMR, time stamps will continue to be documented in Charts, Comm Logs, RX panel, etc. with the current time, as this information is based on the time and time zone settings of your operating system.
🗃️ Standalone Patient Documents
Unlike previous document uploads, these uploads/attachments will be tied to the Patient, not a specific Visit.
New Patients Without Previous Visits
The 3-dot menu next to the patient’s name allows you to Check-In, Schedule Appointments, view the Patient’s Chart, access the Patient’s Comm Log, and Upload Attachments as a Standalone Patient Document before appointments/visits even without a previous check-in.

The Chart screen will be visible for patients who have never been checked into Instinct, however, all other navigation tabs will be grayed out until the patient’s first check-in. You can upload Attachments as a Standalone Patient Document or edit details in the Patient Info Bar

Checked Out Patients With Previous Visits
You can Upload Attachments as a Standalone Patient Document before appointments/visits on existing Patients even when they’re checked out.

Checked In Patients
Clicking on Upload Attachment in a checked-in patient’s 3-dot menu allows you to upload an Attachment into that Patient’s Chart as a Standalone Patient Document.

Uploading & Attaching Documents
You can upload documents by dragging/dropping onto the document screen or using the ‘Drag/Click to Upload’ button.

📓 Please Note: Only the listed accepted file types can be uploaded as a Standalone Patient Document.

The Document Label and Type are required, but the Source field is optional.

Clicking the 3-dot menu next to the document and selecting View, opens the document in the right window panel allowing you to edit the document Type or add the Source within 24 hours of upload.

Void/Undo Void
You can Void documents via the 3-dot menu in the Attachments section.

Selecting Void will prompt a reason for voiding the document.

Any Voided documents will automatically be hidden once voided if the Show Voided Items toggle is set to OFF. You can show voided documents with the Show Voided Items toggled ON.

If a document was voided by mistake you can always undo a void.

Selecting Undo Void will prompt a reason for undoing the void on the document.

Printing or Emailing Standalone Patient Documents
Standalone Patient Documents will be listed at the top of the options to Print Record or to email from the Comm Log. PDFs and common image files are the only file types that will display as options. All other file types are not supported to be emailed or printed.

🗓️ Appointments – Calendar List View
Calendar appointments can now be viewed and sorted in a List View.

To view calendar appointments as a list, select a Staff Group from the drop-down.

Once a Staff Group is selected, the toggle for List View will appear in the left menu. Click the toggle to turn List View ON. When List View toggle is ON, the “Find Appt Time” and “Only Available” options are disabled.

Scheduled appointments will display in list format:

A red arrow will display next to appointments during their scheduled time block:

Patient’s Appointment Status
A sortable Status column will display next to the Time:

If the patient is checked in to their most recent visit and their appointment is active, the status column will show the Checked-in icon:

If the patient is checked in to their most recent visit and their appointment is marked as canceled, the status column will show the Canceled icon:

If the patient is checked out of their most recent visit and their appointment is active, the status column will be empty and no icon will display:

If the patient is checked out of their most recent visit and their appointment is marked as no show, the status column will show the No Show icon.

List View Column Sorting
By default, the List View is sorted chronologically by Time. You may sort up to 2 columns at a time, however, the secondary sort column will always be the Time column.

Editing Appointments from List View
To edit an appointment while in List View:
- Hover over the patient’s name
- Click the 3-dot menu when it appears
