✅ Task List
Our new Task List is an easy way to assign time-sensitive tasks to yourself or other team members in Instinct and is accessed in the left navigation panel.

Once clicked, the task list panel opens on the right side of the screen and can be pinned, allowing you to freely navigate the different sections of Instinct without having to reopen the Task List.

To add a new Task, simply click + New Task as shown above. You can then add the Assignee via dropdown, Name of the task, any optional Details, and the Due Date.
As Tasks are added, the left navigation bar will also display a color-coded Task List count for any Tasks that are assigned to you.
Orange: Number of Tasks due today.

Green: Number of Tasks due tomorrow.

Red: Number of tasks that are overdue.

Gray: Number of upcoming tasks that are not overdue, due today, or due tomorrow.

📓 Please Note: You can have an unlimited number of tasks but the Task List counter shown above has a limit of 50. If there are more than 50 tasks due, only 50 will show until the list is reduced.

📅 Appointments – Visible Audit Log
Wondering who created that appointment? Or maybe when that appointment was canceled? 🤔
You can now find this information in the Appointment ToolTip! The appointment audit log within the ToolTip allows you to see which staff member created, edited, cancelled, or marked an appointment as a no-show, as well as the date and time it was done.
- Created: who made the appointment and when
- Edited: most recent information on who edited the appointment and when
- Cancelled: who cancelled the appointment and when
- No Show: who marked the appointment as no show and when


📓 Please Note: Rescheduling a canceled appointment or changing the status to ‘Shown’ removes the Cancelled or No Show audit log, and will show the most recent Editing information.
Drop-off activity is not currently visible, but will be coming in the future!
📝 Estimates – Editable Line Item Names
Estimate line item names are now editable! If you need to estimate for a procedure or medication that is not currently in Instinct, you can utilize the misc procedure, misc treatment, or misc medication line items and change the description to convey the exact procedure, treatment or medication to the client.

Similar to editing Invoice line items, only one line item may be edited at a time and changes will not be saved unless the orange check box is clicked to confirm. If the change is not confirmed, the line item name will revert back to its original name.
Another great use for this new feature is to estimate for diagnostics you may or may not need. Simply add a ‘+/-‘ in front of the Product name, change the Low-End price to $0, and keep the High-End price as is, and now the client is informed of the price if you do decide to move forward with that item.

📆 Appointments – Calendar Templates
Appointment Calendar templates can now be applied for up to 365 days in the future! This was previously limited to 90 days.

🚨 Important Note: There currently is no bulk edit or delete feature for removing templates applied in the future. Please confirm that your template is accurate before applying!

📈 Analytics – Incomplete Charts Report
It’s here! We have added a new, easy-to-run report that provides a list of In Progress and Unsigned Chart documents on separate tabs.

Each tab can then be sorted by Provider to quickly create a to-do list for each provider to complete.

📓 Please Note: This report pulls In Progress and Unsigned charts up to the selected End Date/Time. Voided documents are not included in this report.
💊 Rx Panel – Medication Guide Improvement
Medication Guides will no longer automatically open when clicking ‘Prescribe’ on the Rx Panel. Instead, a notification will display towards the bottom left-hand corner of Instinct with a new ‘Open Medication Guides’ button (if a Medication Guide is available). Clicking this button will open the Medication Guide PDF for printing if desired.

💡 Please Note: This notification will automatically close on its own after eight seconds. As a reminder, you can always access the Medication Guide by using the 3-dot menu next to each Rx on the Rx History List.
Prescribing an Rx that does not have a Medication Guide available will not display this notification.
📃 PDF Charting Improvements
We’ve made 2 adjustments to our PDF Charts based on your feedback:
- We’ve added your practice email address to the top of the header
- Referring Veterinarian information is now located in the visit block (this was previously in the header)

💰 Patient Info Bar – Billing Details Data
For Instinct EMR hospitals that have our Payments feature enabled, two new fields have been added to the Billing section of the Patient Info Bar: Payments and Visit Balance. Please note that these fields will not be included in the ‘Copy Billing’ functionality.

💲 Invoice – Display Payments & Ledger Button on All Invoices
The Payments & Ledger button will now display on all invoices regardless if the invoice contains line items or if the patient is checked in or checked out!

💡Please Note: The Payments & Ledger button will only display if the Payments feature is enabled for your hospital and at least one of the payment permissions or the financial ledger permission has been added to a user’s role. For more information on managing Roles/Permissions, please visit our Careville Guide.
📅 Appointment Calendar – Email Reminder Status
The Appointment Tooltip has been updated to better reflect the status of email reminders that were not sent to the owner.



⚠ Account Alerts
You are now able to add Account Alerts to client accounts! These are visible in the Business Office and within any patient visit on the Patient Info Bar.
To set up and manage Account Alerts, a new permission has been added to the User Roles called Admin Account Alerts.

- Selecting this Permission for a Role will enable you to view, add, remove, and edit Account Alerts in the Admin page.
- Unselecting this Permission for a Role will disable your view to the Account Alerts admin page.
📓 Please Note: This permission is not enabled by default. Hospital administrators will need to update Roles manually if you would like to utilize this feature.
After enabling the above Permission, you will see the Account Alerts page in the Admin section of Instinct (you may need to log out/back in). Account Alerts are internal tags for accounts that are easily visible and will never be displayed on PDFs designed for clients.

Once you’ve added Account Alerts in the Admin section of Instinct, you can then add those alerts to client Accounts by clicking on the Owner information in the Patient Info Bar (left side of any Patient Visit screen) or navigating to the Business Office and searching/selecting the name of the Account you’d like to update.

We’ve also added a new column to the main Accounts screen to display Alerts. Account Alerts with long names will be shortened to fit the page and a tooltip text will show the whole alert when hovering over the label.

In addition, the patient info bar will display an icon that an account has alerts added, and hovering over the icon displays a tooltip text with the alerts for that account.

EMR hospitals with our Appointments feature enabled will also see Account Alerts when viewing the Appointment panel as well as hovering over the Appointment card.


EMR hospitals with our Account Ledger feature will see Account Alerts when viewing individual ledgers on the Account header section to the right of the Account Name.
🚨 Important Note: Account Alerts will NOT print on Account Statement PDFs.

🖨️ DYMO Label Printer Management
EMR hospitals with our RX feature enabled will now have access to manage your DYMO printers in the Admin section of Instinct! You’ll be able to add and manage multiple DYMO printers, providing a drop-down selection for staff to choose which printer they want to send labels to.
📓 Please Note: This permission is not enabled by default. To view and manage the DYMO Printer page in the Admin section, hospital administrators will need to add the Admin Dymo permission to a User Role.

After enabling the above permission, you can add new DYMO Printers or manage any available printers that Instinct recognizes for the entire hospital server. DYMO Printers will need to already be set-up, and proper drivers installed on individual operating systems.

📁 Chart PDF Improvements

🆔 Invoice ID
We have added the Invoice ID to the Invoice Screen and to the Payments Pane! The Invoice ID is a sequential ID that is generated for each active Invoice associated with a new patient visit.
