How do I update patient/client info if the patient changes ownership during a visit?
Unconnected Practice Scenarios
The previous owner only has 1 pet and the new owner does not have an account in Instinct:
- Click the Briefcase icon (Business Office) and select/search for the name of the patient you’d like to update.
- Edit their contact information and PIMS ID as needed.

You can also quickly edit Patient or Owner information by clicking directly on those headers in the Patient Info Bar within the Patient Visit screen.

The previous owner has multiple pets and the new owner does not have an account in Instinct:
- Click the Briefcase icon (Business Office) followed by “Accounts” at the top of the page.
- Click “+ New Account” to add the new owner information then click “Transfer” to search for the patient and transfer to this new account.

The new owner already has an account in Instinct
- Click the Briefcase icon (Business Office) followed by “Accounts” at the top of the page.
- Search for the new owner account then click “Transfer” to search for the patient and transfer to this new account.
Connected Practices
- Create a new patient/client in your practice management system.
- Check In this new patient into your practice management system. This patient will now appear in Instinct twice, once under the original owner and once under the new owner.
- Check Out the original patient from your practice management system which will automatically remove them from Instinct (don’t worry, we can reopen the treatment sheet in step #5!).
- In Instinct, merge the original patient who is currently checked out with the new patient. If you need a refresher on how to merge patients, click here. Once completed, you will have successfully merged the original patient with the new patient information.
- To reopen the previous treatment sheet, simply click “Open Visit List” at the bottom of the treatment sheet and select “Reopen” under the latest Checked Out visit. To learn more about how to Reopen a treatment sheet, click here.
📓 Please Note: If your practice management system allows patient merges, please check the patient out of instinct first before merging.
