A quick guide on how Cubex and Omnicell inventory cabinets work with Instinct.
General Overview
In some hospitals, Cubex and Omnicell can communicate with your practice software so charges are automatically captured when items are removed from the cabinet. This integration is unique based on which practice software you are using and if it is connected to Cubex/Omnicell. Here’s how it works:
Cubex/Omnicell Unconnected to Practice Software
Charges from a Cubex/Omnicell cabinet with an unconnected practice software are not captured in Instinct. Any charges relating to items taken from a Cubex/Omnicell cabinet are captured when the order is completed in Instinct (as long as the same price exists in Instinct). These charges will go to the Instinct invoice as expected and can either be manually entered in your practice software or ‘sent’ to your practice software using the “Send Missed Charges” button (certain software connections only).
Cubex/Omnicell Connected to Practice Software
If an item is removed from Cubex/Omnicell and has an associated charge, it will automatically appear in your practice software invoice). Since Instinct can read your practice software invoice, this item will also download to the Instinct invoice. When this order is completed in Instinct, the charge will appear on the Instinct invoice and sync with the downloaded charge from Cubex/Omnicell (it will not duplicate).
When items from Cubex/Omnicell do not sync with Instinct
There are a few reasons why these charges may not sync:
The PIMS ID (or item code) of the product in Instinct does not match the PIMS ID in Cubex/Omnicell and/or practice software. For example: Treatment called for Hydromorphone 2mg 0.5mLs and someone removed Hydromorphone 10mg from the Cubex/Omnicell. Since these are considered two different products with different PIMS IDs, those items will not sync.
The quantity is different from the amount given compared to the amount that was removed from Cubex/Omnicell. For example: Treatment called for 0.85 mLs of medication but when this was removed from Cubex/Omnicell, 1 mL was documented and removed. Since Cubex/Omnicell is capturing the charge of 1 mL and Instinct invoice has completion of 0.85mLs, these items will not sync.
