Merge Patients
You can easily merge two patients into one account in Instinct. This is helpful if a duplicate patient account has accidentally been created.
- Click the “Calendar” icon in the navy blue bar on the left side of the screen to open Business Office.
- At the top of the page, you’ll see a “Merge Patients” button. Once clicked, you’ll be able to select both patient accounts and then merge them together.

- Click “Merge Patients” and you’re all set!

If needed, once the patients are merged you can reopen the visit to continue using the treatment sheet and invoice.
💡 ProTip: You’ll want to make sure the account you are merging has been checked out of your practice software.
Transfer a Patient
You can easily transfer a patient to another account in Instinct. This is helpful if a patient changes ownership during a visit.
- Click the “Calendar” icon in the navy blue bar on the left side of the screen to open Business Office.
- Click on “Accounts” to search and select the Account you’d like to transfer a patient to.

- Once opened, this screen will show all owner details as well as any existing patients within the account. Click “Transfer Patient” to look up by ID or name to transfer a patient to this account.

Deactivate Duplicate Client Accounts
While there isn’t a simple “merge” function like above for client accounts, the process for doing it is pretty straightforward:
- Transfer all patients from the client account you’re going to inactivate to the correct client account, following the directions above.
- Update the “old” client account to indicate that it is no longer active, such as adding the words DONOTUSE or INACTIVE before the account names, and delete their contact information such as address and phone number.
